Electronic mailing addresses (e-doręczenia) of companies and entrepreneurs in Poland

Since 2025, electronic mailing addresses (e-doręczenia) have become mandatory for government agencies, companies, and entrepreneurs. Our article explains the timeframe for registering for these email addresses and how to do so.

Electronic delivery (e-doręczenia) is an electronic equivalent of a registered letter with acknowledgment of receipt. This service allows government agencies, citizens, and businesses to enjoy convenient and secure electronic delivery. Legally, it is equivalent to a traditional registered letter with acknowledgment of receipt. Detailed information about the service can be found at the address on the government website.

Who is subject to the electronic delivery obligation?

The electronic delivery obligation applies to all government agencies and companies registered in the National Court Register (KRS) and the Central Business Register and Information (CEiDG). This obligation will be implemented gradually, according to a set schedule.

Starting in 2025, almost everyone in Poland will be required to have an email address. Effective January 1, 2025, all government and public organizations, as well as lawyers and notaries, will be required to have such an email address.

Also, starting January 1, 2025, all new organizations registering in the National Court Register (Krajowy Rejestr Sądowy, KRS) and sole proprietors registering in the Central Business Register (Centralnej Ewidencji i Informacji o Działalności Gospodarczej, CEiDG) will receive such an email address.

Starting April 1, 2025, all organizations (companies) previously registered in the National Court Register (Krajowy Rejestr Sądowy, KRS) must have an email address, meaning until December 31, 2024. An email address is also added when changes to the company (address, activity codes) are entered into the KRS. Once an email address has been added, it appears in the KRS extract under the section: Rybrika 2 Siedziba i adres podmiotu Pole 5 Adres do doręczeń elektronicznych wpisany do Bazy Adresów Elektroniczny.

From 1 July 2025, all entrepreneurs (jdg) previously registered in the Central Register of Business Activities (Centralnej Ewidencji i Informacji o Działalności Gospodarczej, CEiDG), i.e. until 31 December 2024, must have an e-mail address. This also applies to changes in such records after 30 June 2025.

How do I register for an electronic address?

Registering an electronic address (e-doręczenia) involves:

1. Completing an application, which is completed using the applicant's or administrator's details. After signing the application, a confirmation of its submission will be sent to the email address you provided in the application.

2. Checking the application status. The applicant can check the status of their submitted application on the website edoręczenia.gov.pl in the "E-mail Address Management" tab. This section displays all submitted applications and their status.
